Process Improvement


The situation

A South African government organisation with a largely manual, uncontrolled process for asset management and procurement, which had resulted in a sizeable backlog, lack of records, and inconsistent performance, employed DBA's services to create a case for change as well as optimising actual systems.

The DBA involvement

We carried out the following:

  • Determined the objectives, design principles and regulatory requirements

  • Conducted interviews, mapping and critiquing workshops

  • Created As-Is process maps

  • Analysed and identified improvement opportunities

  • Created To-Be process with key personnel

  • Implemented a new process and change management

Key outcomes

  • ​​50% reduction in asset verification process time and clear record keeping system 

  • 100% reduction in backlog for supplier payments and unresolved purchase orders

  • Implementation of economising committee for governance of approved purchase orders

  • Internal customer and supplier standards and measures implemented
